Your data

Export everything you have put into PulseBooks, download CSVs of transactions and clients, and know where your files live.

Your books are yours. This page covers getting a complete copy out, the smaller everyday exports, and where your uploaded files are kept.

The full export

Go to Settings → Data and click Export everything. PulseBooks builds and downloads a ZIP archive containing a spreadsheet-ready CSV for every core table in your organisation, plus a manifest describing the contents:

  • Clients
  • Invoices and their line items
  • Transactions
  • Products and services
  • Credit notes and their line items
  • Recurring invoices and expenses
  • Categories
  • Bank accounts

A few things worth knowing about the format:

  • Exporting is read-only — it never changes your data.
  • CSV fields are sanitised against spreadsheet formula injection, so the files are safe to open directly in Excel or Google Sheets.
  • Amounts are exported in each record's own currency, alongside the exchange rate used to convert it to your base currency — nothing is flattened. See Multi-currency.

A full data dump is a privileged operation, so the export is available to owners and admins — see Team & roles. There is no limit on how often you run it; keeping a periodic offline backup is a perfectly good habit. The download is named with the date it was taken, so successive backups sort themselves.

Everyday CSV exports

Two lighter exports live where the data does:

  • Clients — on the Clients page, Export CSV downloads every client with contact details plus the derived figures the list shows, like total revenue and outstanding balance. See Clients.
  • Expenses — on the Expenses page, Export CSV downloads the expense list, and Export with Receipts goes further: it bundles a CSV for a date range together with every attached receipt file into one ZIP — built for handing a complete, documented expense record to your accountant or tax authority. See Income & expenses.

If an expense CSV export is capped for size, PulseBooks tells you so rather than silently trimming the file — for a genuinely complete copy, use the full export above.

Attachments and files

Receipts, logos and other files you upload are stored in private storage — they are never on public URLs. Every file is served through PulseBooks itself, scoped to your organisation, so only signed-in members can retrieve it. The Export with Receipts bundle above is the way to take your receipt files with you in bulk.

Leaving

Nothing about exporting is tied to cancelling, but the two work together: if you ever leave, run the full export first and everything you entered goes with you. Downgrading or cancelling never deletes your records — see Plans & billing.
