Reports

The full report catalogue — what each report answers, date ranges, the cash/accrual toggle, PDF export, and which reports need a paid plan.

Every report reads the same books your invoices and expenses post to, so the figures always agree with each other. Reports live in the sidebar under Reports.

Included on every plan

Three reports are free, on every plan:

  • Profit & Loss — what you earned, what you spent, and what is left, over any period. A Compare toggle puts the previous period of the same length alongside, with the change per line.
  • Cash Flow — money in and money out over a period, including financing movements, and the net change in cash.
  • Books Health — a check of the books themselves: it scans for currency, exchange-rate and posting defects and presents each finding with an explanation and a suggested remedy. It takes no date range — a defect is a defect however old it is.

Everything else in the catalogue requires Pro or Business — see Plans & billing. On the Free plan, gated reports show a lock in the sidebar and open to an upgrade prompt rather than data.

The advanced reports (Pro and Business)

  • Balance Sheet — what the business owns and owes at a chosen date, and the equity left over.
  • Trial Balance — every ledger account with its debit and credit balance, proving the books balance. See Chart of accounts.
  • General Ledger — every posting, account by account, for a period: the full detail behind every other report. See Journals.
  • Bank Reconciliation — checks the cash balance your books state against the statement lines you imported from the bank: the one report that tests the books against evidence from outside them. It needs bank imports; see Reconciliation.
  • Receivable Aging — who owes you and how late it is, bucketed into Current, 1–30, 31–60, 61–90 and 90+ days.
  • Payables Aging — the mirror image for the purchase side: which supplier bills you owe, aged the same way. See Bills & suppliers.
  • Tax Summary — tax collected on income against tax paid on expenses, broken down by category, with the net position. See VAT.
  • Expense Report — where the money went: totals by category, top vendors, the month-by-month trend, and the deductible split.
  • Revenue by Client — revenue per client for a period, with each client's share and how concentrated your income is.
  • Depreciation Schedule — your fixed assets and the depreciation recognised on each. See Fixed assets.
  • Budget vs Actual — actuals against a budget you built, category by category, with the variance. It lives at /reports/budget-vs-actual; see Budgets & goals.
  • VAT Return — the filing figure for a VAT period. Its workflow (draft, finalise, file) lives under Accounting → VAT rather than in the reports list; see VAT.

Dates and periods

Reports come in two shapes:

  • Period reports (Profit & Loss, Cash Flow, Expense Report, Revenue by Client, Tax Summary, General Ledger, Budget vs Actual) take a date range, defaulting to the current year. Change it with the date-range selector in the toolbar.
  • As-of reports (Balance Sheet, Trial Balance, Depreciation Schedule) report a position at a single date.

The two aging reports take no date at all: they always age every open invoice or bill as of the moment you run them. Books Health takes no date either.

Cash or accrual

Profit & Loss, Balance Sheet, Trial Balance, General Ledger and Budget vs Actual carry a basis toggle:

  • Accrual (the default) recognises income and expenses when they are incurred — an invoice counts when it is issued.
  • Cash recognises money only when it actually moves.

The page — and any PDF you export — states which basis produced the figures on it, so a screenshot can never be ambiguous.

PDF export

Profit & Loss, Balance Sheet, Trial Balance, General Ledger, Expense Report, Tax Summary, Depreciation Schedule, Bank Reconciliation and Books Health have an Export PDF button in the toolbar. These are typeset documents, not screenshots: the text is selectable and searchable, tables break cleanly between pages, and the document is always light-themed regardless of how your screen looks — ready to send to your accountant.

The remaining reports (Cash Flow, the two aging reports, Revenue by Client, Budget vs Actual) are on-screen only for now.

Running reports with your assistant
