Products

If you bill the same things again and again — a day rate, a retainer, a physical product — the products catalogue saves you retyping them. A product carries a name and a price; picking it on an invoice fills the line in for you.

The catalogue

Go to Products to see everything you sell. Each entry is either a product or a service — the distinction is a label to keep your catalogue organised; both behave the same on an invoice.

The list shows each entry's type, price and tax setting, and marks retired entries as Inactive (see below).

To add one, go to Products → New and fill in:

• Type — product or service.
• Name (required) — what appears in the picker, e.g. "Website Design".
• Description — optional; used as the line description on invoices when set.
• Unit price (required) — what one unit costs.
• Unit — optional; how you sell it (an hour, a month, an item).
• Tax applicable — whether your sales tax applies when this product is billed. On by default.

Using products on invoices

On a new invoice, each line item has a product picker. Choosing a product fills in:

• the description (the product's description, or its name if there is none);
• the unit price;
• the line's tax treatment — a product marked not tax-applicable sets the line so no tax is added; a taxable product resets the line to your standard treatment.

Everything remains editable on the line afterwards. Changing the price or description on one invoice changes that invoice only — the catalogue entry is untouched. You can also leave the picker empty and free-type a line; products are a convenience, not a requirement.

Recurring invoice templates use the same picker, so a monthly retainer template can be built from your catalogue too.

Prices

Each product stores a single unit price. The price is a plain amount — it is placed on the invoice line as-is, in whatever currency the invoice uses — so if you bill the same service in more than one currency, check the price on foreign-currency invoices or keep a catalogue entry per currency. To change a price, edit the product. Invoices already created keep the price they were created with; only future picks use the new price.

Deactivating a product

Products are never deleted — invoices that used them are part of your history. Instead, use the Deactivate action on the Products page:

• A deactivated product disappears from the invoice picker, so it cannot be added to new invoices — the picker only ever offers active products.
• It stays visible on the Products page, marked Inactive, and every past invoice line that used it is unchanged.
• Activate brings it back into the picker at any time.

This makes deactivation the right way to retire an old rate card entry: raise the new one, deactivate the old one, and the history still reads correctly.
