Clients

Create and manage the people and companies you invoice — contacts, account statements, CSV export, and the blacklist.

A client is who an invoice, credit note or agreement is addressed to. Everything you bill flows back to a client record, so the client page doubles as an account history.

Creating a client

Go to Clients → Add Client. Only the display name is required — it is how the client appears in lists and on invoices. Everything else is optional:

  • Contact details — company name, email, phone, website. The email address is where invoices and statements are sent, so it is worth filling in early.
  • Address — printed on invoices and statements.
  • Financial details — tax ID / VAT number, company registration number, and a default currency for clients you bill in something other than your base currency; see Multi-currency.
  • E-invoicing (Peppol) — a Peppol participant ID and scheme ID, used by the Peppol UBL export on invoices (Business plan).
  • Notes — anything you want to remember about the relationship.

On the Free plan an organisation can have up to 3 clients; Pro and Business have no limit. See Plans & billing.

The client page

Open a client to see their account at a glance: total revenue, revenue this year, the outstanding balance, and the total of paid invoices. Below the summary are four tabs:

  • Details — contact information, address, tax IDs and notes.
  • Invoices — every invoice for this client, with status, dates and amounts.
  • Transactions — income and expenses linked to this client; see Income & expenses.
  • Contacts — the people at this client.

The Clients list itself is searchable and sortable — by name, revenue, outstanding amount, or most recently added — and shows each client's revenue and outstanding balance on the card.

Contacts

A client can have any number of contact people. On the Contacts tab, Add Contact records a name (required) plus an optional email, phone and role, and a contact can be flagged as the primary contact. Contacts can be edited or deleted at any time. Agreements can name a specific contact as the counterparty's representative.

Client statements

Statement on the client page builds an account statement for a date range you choose (the default is the start of the current year to today). It shows the opening balance, the invoices issued and payments received in the period, and the closing balance; issued credit notes appear as credits. From the dialog you can:

  • Download PDF — save the statement locally.
  • Email statement — send it to the client's email address. The button is disabled until the client has an email on file.

Sending statements in bulk

For the month-end run, tick clients in the list (or Select all) and click Email statements. One date range applies to the whole batch, and when it finishes you get a per-client report: sent, skipped, or failed. A client with no email address is skipped, not failed — that is a normal member of any client list, and the failure column is reserved for sends that actually went wrong.

CSV export

Export CSV on the Clients page downloads every client with their contact and address details, tax IDs, blacklist status, and two derived figures — total revenue and outstanding amount — matching what the list shows.

Blacklisting a client

Blacklisting flags a client you no longer want to work with, without deleting their history. From the Clients list or the client page, choose Blacklist, optionally pick a reason and add notes, and confirm. A blacklisted client:

  • carries a Blacklisted badge in lists and a warning banner on their page;
  • triggers a caution notice when you pick them on a new invoice.

Blacklisting is a flag, not a lock — you can still invoice a blacklisted client if you choose to. Remove from Blacklist reverses it at any time.

Blacklist reasons

The reasons offered in the blacklist dialog are yours to define under Settings → Blacklist. Each reason has a name and an optional description, and reasons can be edited or deleted as your policy changes. Picking a reason is always optional.

Deleting a client

Deleting a client is permanent and cannot be undone. Invoices and transactions that referenced the client are kept, but lose their client link. If you only want a client out of the way, blacklisting keeps the history intact.
